Book the Draama Hall at the Main Library
The Drama Hall of the Main Library is suitable for various lectures, educational and cultural events. The hall can accommodate up to 160 people. The Drama Hall is located on the first floor of the Main Library.

The hall is equipped with av equipment and acoustic walls specially designed for speech. The furniture (chairs and tables) can be adapted to the customer’s requirements. The room is also suitable for people with reduced mobility and has an induction loop.

The rent fee of the Draama Hall includes the chairs, tables, and in-room technology.
We offer a reduced rent for cultural actors (35 % off the normal price).
The rental price of the Drama Hall is determined by the current price list. The Head of Culture may negotiate a different rent from the price list in the case of long-term rentals. Decisions on possible rent exemptions are taken by the Director of Culture and Library Services.
General rules for the use of library facilities
Library facilities can be rented and reserved for the use of residents, associations, and businesses. The Vaasa City Library adheres to the following general terms for facility reservations.
1. The person who reserves the facility is responsible for its use. The person making the reservation must be of legal age.
2. Making a reservation requires providing the customer’s contact details.
3. The event organised in the facility must not disturb the premises’ regular operations, or its customers or users. Noisy or disruptive public events must be agreed upon on a case-by-case basis with the library and, if necessary, with the relevant authorities.
4. The content or nature of the event held in the facility must not be in conflict with Finnish law,
the city’s equality and non-discrimination goals, or be contrary to good custom and practice. The facilities will not be rented or booked for racist or discriminatory activities, nor to any organisation whose activities clearly promote discrimination against any group or groups of people.
5. The facilities will not be rented for public events of individual political parties during the election silence period.
6. Political and religious events can only be held in the Draama Hall. The events must be closed events and cannot be organised as open public events. A normal venue rental fee will be charged according to the current price list. If the intention is to organise an open public event, it is required that several different political or religious groups participate on equal terms.
7. Organisations external to the City of Vaasa can organise their own events and activities in
separate areas of the library, available for reservation. Organising events and activities in the
library’s public customer spaces during its regular opening hours always requires collaboration with the library.
Only the library can be the responsible organiser for public events that require notification to
the police and/or a safety and rescue plan, unless the event has been separately agreed upon
with the library, and the library is involved in broader cooperation with the event organiser.
Such public events include, for example, events with over 200 attendees, events that require
crowd control, and events that may provoke strong emotions and therefore carry a risk of disruption.
8. The rental price for the paid space (the Draama Hall) is determined according to the current price list. The Head of Culture Services can negotiate a rent that deviates from the price list if the rental is for a long-term period. Decisions regarding possible rent exemptions are made by the Director of Culture and Library Services.
9. The maximum number of people specified for the space must not be exceeded.
10. After use, the facilities must be left in the same condition as they were at the start of the rental period. Any preparations and final cleaning must be included in the reserved time.
11. Any costs incurred from use not defined in the original reservation (e.g. security, arrangement, and cleaning fees) will be invoiced to the person who made the reservation.
12. The person who made the reservation is liable for compensation if the users of the facility
cause damage to the property or furnishings. Any damage must be reported immediately to a library representative.
13. Any sales during events and commercial events must be agreed upon on a case-by-case basis. As a rule, reserving or renting the facility does not include permission for commercial activities.
14. Library representatives have the right, at their discretion, to deny the renter access to the facility or to suspend an event if it is found that the aforementioned rules are being violated, have been violated, or if the event threatens public order and safety in the library premises.
15. Library representatives have the right to refuse a reservation or event if its content or execution is unsuitable for a public space, contradicts the terms of use of the facility and the principles of the City of Vaasa, or threatens public order and safety in the library premises.
16. The Head of Culture and Library Services has the right to make changes to these terms and conditions of use.

Renting the Drama Hall
Bookings
The person booking the Draama Hall must make the booking via the Timmi reservation system. A representative of the Culture and Library services accepts the booking, of which the person who made the booking will be notified.
Terms and Conditions
The rental price of the Drama Hall is determined by the current price list. The Head of Culture may negotiate a different rent from the price list in the case of long-term rentals. Decisions on possible rent exemptions are taken by the Director of Culture and Library Services.
Renting the premises does not include a sound and light technician arranged by the Culture and Library Services.
The Culture and Library Services offers guidance to the use of the basic sound/light technology (the microphones and the ceiling spotlights). The organiser of the event and the Culture and Library Services representative negotiate a date and a time for this guiding session. All other sound/light technology in the room must be operated solely by a professional technician.
In case the event should be streamed, the event organiser is responsible for obtaining the sufficient hardware and software. Culture and library services do not offer streaming services.
The name and contact information of the technician or other person responsible for technological matters appointed by the event organiser must be mentioned in the contract.
In case of any equipment or other appliance breaks during the booking period, the event organiser must report it to the Culture and Library Services’ Facilities manager immediately.
The premises are checked after the booking period, and any possible deficiencies, damages, or any other such problem is reported to the organiser of the event as soon as possible. Compensation for such damage will be claimed when the costs has been confirmed.
All the equipment used at the event should be returned to their original places, and, for example, the lighting settings should not be touched.
The booking must be cancelled at the latest seven (7) days before the event. If cancelled later, the rent fee will be charged according to the Prices list valid at the time of signing the contract.
Further information
All the furniture and equipment needed for the event should be listed upon booking the premises. The organiser of the event is responsible for all other arrangements of the event as well as maintaining order during the event. The organiser of the event is liable for all damage that the use of the premises causes to the library premises, their movable property, or the library’s operations.
The organiser of the event is responsible for declaring the event to the City Police Department as well as applying for authorization of the event from the City Police Department. The Cultural and Library Services is not responsible for the possible Teosto royalties or any other form of compensation. The insurance of the Culture and Library Services does not cover any of the event organiser’s equipment, and the premises are guarded by the security organisation responsible for the security of the Main Library. The Culture and Library Services does not compensate the event organiser for any damage caused on their own equipment or other appliance.
The emergency exists must be accessible at all times. It is not allowed to cover or remove any fire security markings, fire alarms, or first extinguishing equipment.
The event organiser is responsible for all marketing of the event unless otherwise agreed.
The Culture and Library Services reserves the right to use any photo material related to the event on the Library’s website or other channels without any compensation.
Catering
The organiser of the event will arrange catering directly with the library’s café owner. The entrepreneur will be responsible for serving alcohol and obtaining a liquor license. If there is no café operator, the organiser may organise the catering in any other way he/she wishes. This should be agreed with the library representative.
