Are you organising an event in the Inner Harbour in summer 2027? Submit your application in advance

The City of Vaasa is introducing a new application form for events held in the Inner Harbour. The aim is to identify any overlapping events well in advance and to make sure that decisions on the use of the venue are made openly and fairly.

The application process applies to events with more than 100 participants that will be held in the Inner Harbour during the upcoming summer season, from 15 May to 15 September 2027. There is no need to complete the form for smaller events.

The Inner Harbour is one of Vaasa’s most popular event venues. As it is not possible to hold multiple events in the area at the same time, the city is introducing a new application process to help resolve any potential scheduling conflicts.

A working group will assess overlapping events

If more than one event is proposed for the same dates, a working group will assess the applications and award points based on the criteria set out in the application form. The form asks for information such as the event’s safety and traffic arrangements, as well as how nearby residents will be taken into account.

– The application process does not mean that all events are assessed against one another. Events will only be scored if more than one event is planned for the same dates. The event that receives the highest score will be granted permission to go ahead, says Jori Löfbacka, Traffic Management Officer for the City of Vaasa.

Applications will be assessed by a working group comprising representatives from Public Utility Services, the Environmental Department, Visit Vaasa, the city centre residents’ association VKA ry, and other local stakeholders.

– We want to make sure that any potential scheduling conflicts are resolved in a transparent and fair manner that is clear to everyone involved. The aim is not to restrict the organisation of events in the Inner Harbour, says Löfbacka.

Deadline for applications is 23 October

To be considered in the event of overlapping applications, the completed application form must be submitted to the city by 12.00 on Friday 23 October 2026. Complete the application form here (Webropol.com)

Not submitting the application form does not prevent an event from being organised in the Inner Harbour, provided there are no competing event plans for the same dates. After 23 October, organisers can apply for a permit to use the site through the standard permit application process (available in Finnish and Swedish).
