Registry and Central Archive

The City of Vaasa’s document management service consists of a case management unit, a registry and a central archive.

Document management

Document management includes taking care of the initiation of matters all the way to decision making and storage.

Note! To prevent the spread of coronavirus infections, visitors will first need to book an appointment by telephone or email for document management matters.

Registry

Receives matters addressed to the City, City Board and the City Council and records them in the case management system.

The Registry records matters related to decision making and the documents to which an official will respond. The documents to be registered are e.g. municipal initiatives, complaints, appeals, requests for opinions, statements, requests for answers and clarifications, decisions, petitions, and letters of reply. Registered items will be forwarded to officials for preparation.

Advice and guidance on the introduction of documents: information on alerts, pending cases, handling of cases decided and time limits for appeals, and decisions of the City Council, City Board and Committees. The minutes of meetings (with attachments) will be displayed on the City’s website for two (2) years.

Central Archive

Information on matters dealt with in the various administrative bodies, as well as a copy of a school certificate, can be ordered from the central archives. A school certificate costs €10 when picked up at the office and €19.30 when sent as a cash on delivery (COD) letter.

The Central Archive serves as the final archive of documents for the city’s long-term and permanent preservation. The central archive houses the archives of more than 130 different archivists, and the oldest documents date from the early 19th century.
